The big day is almost here, and it’s time you were confirming details with your wedding vendors. There’s a big problem though: life has gone crazy!
The weeks leading up to your wedding, will be one of the busiest you’ve ever had. From early rising to do things before work, through to late nights trying to follow up with those who have contacted you, life has become incredibly stressful.
But it doesn’t need to be, We are here to help.

What to Confirm with Your Wedding Vendors.

It’s almost here, and understandably you want everything to be perfect. So do we, and that’s why we recommend delegating the task of confirming with your vendors to someone else. In fact, we will even do this for you as part of our wedding planner services. In the weeks leading up to the event, the things we confirm the following things with our client’s wedding vendors:

  • Date and time of deliveries
  • Directions and addresses for deliveries, plus the ceremony and reception venues
  • Vendors’ contact details for the day of the wedding
  • Balance owed and when payment is due, plus checking payment has been made
  • Number of guests being catered for at reception
  • Special dietary requests have been actioned
  • Duration of service of each vendor, as to how long they will stay and any overtime fees
  • Quantity of ordered special items such as favours, chairs and flowers
  • Any setup of equipment required for the vendor, and who is doing this
  • Emergency contacts, other than the bride and groom, if things do happen during the wedding
  • Parking for the vendors is available separate from the guests

This list isn’t a complete and extensive one, but rather some of the most common things we confirm with wedding vendors. You’ve likely already got a huge paper (or email) trail between you and your vendors, and now is not the time to click resend and continue the conversations.

Instead, what needs to happen is a fresh conversation should start with phoning the vendor or meeting in person to confirm the arrangements. This should be followed up by a detailed email in which the information discussed during your phone conversation is included. Be sure to give your vendors a timetable of your wedding day if required, along with clear instructions of who to contact should things go pear shaped.

Of course, you could avoid all this hassle and simply enjoy the time before your wedding day simply by hiring a wedding planner…
